EHEA Toolkit for Bologna events
The EHEA Toolkit for Bologna Events provides staff of higher education institutions, competent authorities and national experts working in higher education with a hands-on tool which collects publications, documents on the main topics of the European Higher Education area, as well as videos, brochures and useful tips to organise events to promote the Bologna Process.
The EHEA Toolkit has been realised in the framework of the project IN-GLOBAL “Enhancing knowledge of the EHEA and Global Dialogue”, co-funded by the European Union under the Erasmus+ programme.

General producer Organise the events in team
The event coordinators are responsible for the entire philosophy of the event. They define the idea and the communication platforms. They plan the event and establish the tasks, ensuring the technical details for the online and offline organization and broadcasting. They are responsible for the timeline, the deployment of the teams, and the agenda. They know the speakers, the guests, and the topics. In addition, they coordinate with all the other teams, such as marketing, acquisition, and logistics involved in the organization of the event.
Event Writer Organise the events in team
The event writer is responsible for setting the topics of panels and establishing the framework for articles on the website and social media, including pre- and post-event press releases. This professional creates speeches and titles for event communication.
Booker and/or hostess Organise the events in team
They are responsible for identifying the best speakers and confirming their participation. They follow the agenda and main topics with the speakers and monitor their participation during the event. This role manages contacts with media, partner universities, and companies.
Hosts Organise the events in team
Hosts greet guests, invite them to take their seats, provide useful information, and ensure a pleasant and coordinated event.
Graphics person Organise the events in team
They are responsible for the event's graphics, using the identifying elements of the organizers' logo. This role creates graphic elements for each panel/video and inserts them into presentations, videos, titles, and subtitles.
Video team Organise the events in team
The Video team, consisting of a cameraman, photographer, video editor, sound technician, and technical director, handles the event's video production.
Marketing person Organise the events in team
The Marketing person manages contacts with media, partner universities, and companies. They establish the framework for promoting the event, order promotional products and giveaways, and create mashups, spiders, and videos using the agreed-upon graphics.
Logistics Organise the events in team
Logistics manages drivers, accommodations, giveaways.
Web and social writers Organise the events in team
Web and social writers follow the topics, panels, hosts, and guests to create articles suitable for each platform (Facebook, Instagram, LinkedIn, website). These articles can be event teasers, marketing materials, pre- and post-event press releases, or reports (news, interviews, video, photos, live updates, and reels). They are also responsible for the creation of videos for each platform.
Give visibility to the event
Once the concept of the event has been defined, a press release is suggested to give visibility about the event, to be shared among relevant stakeholders to which the event is targeted.
